SERVICE/WARRANTY ADMINISTRATOR

Location: Exeter, ON

Type: Fulltime, Permanent  

Delta Power Equipment is one of Ontario's leading farm and construction equipment dealerships, with over 450 employees across multiple locations providing sales, service, and parts support to customers throughout the province.

We’re looking for a Service/Warranty Administrator to join our team in Exeter, Ontario.

This is an important role within our service department, responsible for keeping warranty claims accurate, organized, and moving through the process from submission to payment.

SUMMARY OF POSITION:

As a Service/Warranty Administrator, you’ll work closely with Service Managers, technicians, and manufacturers to ensure warranty work is properly documented and claims are submitted accurately and on time.

Your responsibilities will include:

  • Process and submit warranty claims accurately and within required timelines
  • Ensure all required documentation is complete and submitted with each claim
  • Work closely with Service Managers and technicians to ensure repairs are properly documented and recorded
  • Review warranty guidelines, bulletins, and policies related to repairs and claim submission
  • Monitor claim status from submission through payment
  • Follow up on outstanding claims and payments
  • Review rejected or returned claims and appeal them when appropriate
  • Obtain authorization for claims that cannot be recovered
  • Maintain accurate records of submitted, returned, rejected, and paid claims
  • Reconcile warranty accounts and help maximize warranty claim recoveries
  • Assist the service department with warranty-related questions and documentation
  • Maintain organized and accurate records while meeting manufacturer and dealership deadlines

WHAT WE ARE LOOKING FOR:

We’re looking for someone who is organized, detail-oriented, and comfortable working with deadlines and a lot of moving pieces.

You’ll bring:

  • Knowledge of the agricultural industry and equipment is an asset
  • Previous warranty, service administration, dealership, or equipment industry experience is an asset
  • Strong attention to detail and organizational skills
  • Excellent time-management skills and ability to meet strict deadlines
  • Strong written and verbal communication skills
  • Proven data entry, editing, and typing skills
  • Basic knowledge of Microsoft Office, including Word, Excel, and Outlook
  • Ability to work independently while also being part of a team
  • Strong problem-solving and customer service skills
  • Ability to work under pressure and prioritize competing tasks
  • A positive attitude and strong work ethic

Warranty administration plays an important part in keeping a dealership running smoothly.

You’ll work directly with the service team to make sure the work completed by our technicians is properly documented and that Delta receives the warranty reimbursement it has earned.

It’s a role that requires organization, accuracy, follow-through, and someone who takes pride in getting the details right.
